The agreement between CampusDex and the students, volunteers and organisers who use it.
Version 0.1-draft · Effective: Not yet in force
This document is not final. The sections below are structure only — the notes under each heading describe what the finished clause has to say. Nothing here has been reviewed by a lawyer and none of it is binding yet.
Identify the operating entity, its registered address, and describe the service: campus events, club membership, attendance, certificates and gamified participation. State that institutions and clubs run their own events and CampusDex provides the platform.
Set the minimum age and say how it is verified. Under the DPDP Act a child is anyone under 18 and their data needs verifiable parental consent, so this clause and the signup flow have to agree. State the consequence of a false age declaration: suspension and deletion, not silent retention.
The student warrants that their roll number, batch and course details are accurate. Explain that roll number and batch lock after one self-serve change, that administrators can correct locked fields, and that administrators can also change an account email address or reset its password. Disclose these powers rather than leaving students to discover them.
Reference the Community Guidelines as binding, rather than restating them here. Cover account sharing, scraping, automated access, and attempts to interfere with scanning or scoring.
State that attendance recorded by QR scanning is not an official academic record unless an institution has formally adopted it, and that the institution — not CampusDex — decides what attendance means for credit, eligibility or discipline. Treat presenting another student’s ticket as impersonation and grounds for removal.
Certificates are issued by the organiser or institution; CampusDex delivers them. Make no claim of accreditation, academic credit or equivalence, and give no guarantee that a third party will recognise a certificate. Reserve the right to revoke certificates issued in error or obtained by fraud, and name who decides.
State that XP and coins have no monetary value, are not property, are not transferable, are not redeemable for cash and are not a payment instrument. Reserve the right to adjust, expire or reverse balances to correct errors or reclaim points obtained by cheating. If rewards ever carry real value, this clause needs revisiting.
Take a non-exclusive licence to host and display posts, comments and feedback, limited to operating the platform and ending when the student deletes the content. Avoid a broad perpetual licence over student work. Confirm the student owns what they post and has the right to post it.
Disclose that event report generation sends participant names, departments and roll numbers to a third-party AI provider outside India. State that output may be inaccurate and must be reviewed by a human before it is used as an official record.
Set out the grounds for suspending or closing an account, notice given, and what happens afterwards to certificates, attendance history and posted content.
Service is provided on an "as is" basis with no uptime guarantee unless a separate institutional agreement says otherwise. Cap liability — with no consumer payments today, a nominal sum or fees paid in the preceding period is the usual approach.
Describe how changes are notified and what counts as acceptance. Without this clause there is no clean way to update the Terms across the existing user base.
Name Indian law as governing and specify the courts that have exclusive jurisdiction.
Point to the Grievance Redressal page and repeat the Grievance Officer’s contact details, with the acknowledgement and resolution timelines required by the IT Rules 2021.
